Executive Director, Library Finance and Management
Required Qualifications (as evidenced by an attached
resume):
Master’s degree (foreign equivalent or higher) in accounting, business
administration, management, or related field. Five (5) years of full-time
business administration, finance, or accounting experience, including budget
creation and management experience. Experience with implementing organizational
policies. Supervisory experience. Highly proficient, professional experience in
word processing, spreadsheet management, and applications (Microsoft Word,
Excel, PowerPoint, Google Apps, etc.).
Preferred Qualifications:
Knowledge of SUNY and/or Stony Brook University policies and procedures.
Current finance, accounting, or other fiscal-related industry certification
(e.g., CFA, CPA, CMA, etc.). Knowledge of Research Foundation policies and
procedures. Experience with academic practices, policies, and procedures in an
academic or research environment within an institution of higher
education. Experience managing a multi-million-dollar budget of diverse
financial resources, including scenario planning, projections, and strategic
planning. Experience negotiating business agreements. Experience communicating
budgetary details in technical and non-technical terms and developing
presentation materials for high-level meetings. Experience in Pre- and
post-award grants management experience. Experience using SBU enterprise
resource planning systems [e.g., PeopleSoft, Oracle, SUNY BI; RF Report Center,
ERAS, SBU Reporting, Wolfmart, etc.], or others related to budget records
management. Knowledge of human resources-related federal, state, and local
policies and labor contracts.
Brief Description of Duties:
The Executive Director, Library Finance and Management oversees financial
management and planning, resource allocation, and general administration for
the Libraries. The Executive Director, Library Finance and Management is
charged with crafting innovative proposals and solutions to advance the
Libraries’ mission while addressing fiscal policy management and achieving
strategic planning goals and objectives. The incumbent will be expected
to make executive-level business decisions on behalf of the Libraries, serving
as the primary administrative liaison between the Libraries and other Stony
Brook University administrative units. The position will be part of the
Libraries’ executive administrative team, advising leadership, including the
Dean and Associate Deans, on financial planning and policy. This role is vital
to ensuring the Libraries’ continued excellence in supporting Stony Brook
University’s academic and research goals and the libraries’ Strategic Plan. The
Executive Director, Library Finance and Management will play a critical role in
shaping the Libraries’ future and driving its tactical initiatives.
- Budget
& Finance
- Budget development and management, which includes financial planning and analysis, as well as developing comprehensive business plans for the Libraries to ensure fiscal health and sustainability. Provide budget forecasting, planning, establishing financial commitments, new business development, and expenditure approvals. Serve as the Libraries’ subject matter expert on the new University-wide budget model, recommending strategies for maximizing both short—and long-term resources. Ensure the productive use of funds, both present and future, by providing timely and accurate budgetary information. Authorize all expenditures and commitments from central library resources, ensuring efficient and strategic use of funds. Oversee a diverse portfolio of financial resources, including multiple state-funded accounts, Research Foundation funds, including grant awards, Indirect Cost Recovery, and Stony Brook Foundation accounts. Maintain a comprehensive understanding of all available financial and material resources to optimize purchasing power and ensure compliance with relevant regulations and requirements.
- Administrative
- Serve as the second-in-command and act as the Dean’s designee for decision-making, ensuring effective implementation of policies, procedures, and financial responsibilities. Develop and implement policies and procedures to improve the Libraries’ financial condition and minimize risk while sustaining an effective and efficient business operation. Supervise administrative staff. Conduct analyses of faculty and staff salaries, making recommendations regarding merit, re-classifications, promotions, and equity of both salaries and responsibilities. Identify potential risks and implement strategies to mitigate them, ensuring compliance with all University, state, and federal policies, rules, and regulations. Assist with recruitment, hiring, on-boarding, and disciplinary procedures. Advises the library leadership team on long-range goals and strategic planning initiatives, policy and procedure development, resource planning, and allocation.
- Operations
- Provide oversight and management of facilities, including building maintenance, space allocation and usage, and capital projects.
- Other duties or projects as assigned as appropriate to rank and department mission.
Special Notes:
This is a full-time appointment. FLSA Exempt position, not eligible for the
overtime provisions of the FLSA. Minimum salary threshold must be met to
maintain FLSA exemption.
In addition to the employee’s base salary, this position is eligible for $3,400
UUP annual location pay, paid biweekly.
